Job Description
To provide coordination and support for operational activities of Graduate Medical Education. Primary support to GME Director and Designated Institutional Official. Primary contact for medical students, rotating residents and fellows as well as APP students.
Responsibilities
Coordinates/Processes Monthly Medical Student/Residents/Fellows/APP students' system access and badging access. Responsible for ensuring proper access to the electronic medical record, and other TCHHN Systems, for all medical students, APP students, residents, and fellow
Assists in maintaining EPCS (Electronic Prescription Controlled Substances) records for Resident verification for Imprivata ID and getting residents access for Imprivata ID. Assists in maintaining rotating resident and fellow and medical student credentialing and onboarding processes and schedules and other required paperwork in both electronic and hard copy form, keeping them in an orderly fashion for filing. Handles all materials in a confidential manner. Complete Residency/Fellowship Verifications as needed.
Assists with maintaining MedHub database, function as MedHub administrator, super-user, and trainer. Maintain database including GME documents, residents training documents, and rotating residents' file
Provides coordination and administrative support as needed for the GME Director and Designated Institutional Official including calendar planning, correspondence, travel planning and reimbursement, ordering office supplies, phone screening and triage and general office organization.
Organizes and maintains ACGME regulatory documents for continuous readiness for an ACGME Clinical Learning Environment Review visit. Assists in planning and coordination of resident and fellow events including GME New Resident Orientation, BRACK training, and Wellness Committee functions. Assists with completing program letters of agreement and master affiliation agreement contracts. Assisting with updates of GME Policies. Assisting with updates to the GME Intranet page.
Develop and distribute Call Schedules for OBGYN Residents TCH Departments. Develop and distribute monthly spreadsheet to the Pharmacy Department with rotating residents/fellows' information. Responsible for yearly spreadsheet to Pharmacy for TCH Residents information.
Attends leadership and program management meetings as assigned, taking meeting minutes and maintaining minutes' history, notifying members of meetings and prepares meeting agendas and handouts. Also responsible for maintenance of attendance and follow up, meeting set-up, and clean up.
Performs other duties as assigned

EDUCATION: Bachelor's degree or relevant experience required
YEARS OF EXPERIENCE: 3-5 years preferred
REQUIRED SKILLS AND KNOWLEDGE: Excellent computer skills, including Microsoft Office applications, and ability to learn and utilize operational support databases. Demonstrates professional expertise within multiple environments, placing priority on time management, organizational skills, and constant high levels of tact, integrity, and confidentiality. Excellent interpersonal skills relating to multiple levels within the organization. Knowledge of Graduate Medical Education and ACGME regulations.
