Job Description

Proactively manage all daily activities for Executive Directors. Priority setting - correspondence, management. Daily interaction with other Executive Directors, Vice-Presidents, assistant internal and external customers and patients. Coordinate and handle documentation of a highly confidential and sensitive nature. Maintain smooth flow of paper work, appropriately handle internal and external electronic and hard copy correspondence. Coordinate business meetings, conference call and travel arrangements. Coordinate banquets and/or events. Tasks require judgment and discretion at all times.

Responsibilities

Schedule Management

  • Schedules appointments and arrange meetings daily.
  • Manage Executive Director's schedules for maximum effectiveness. Help Executive Director be more efficient in his/her job.
  • Screen requested meetings for importance and prioritize based on agreed-upon work priorities.
  • Prepare Executive Directors for each week and day in advance.


Meeting Management

  • Prepare and type agendas, reports, and related materials for staff, departmental and committee meetings.
  • Distribute, and file correspondence, reports, contracts, policies, legal documents.
  • Attend and take minutes for various meetings.
  • Prepare Executive Directors for each meeting at least the day before by assembling appropriate documents


Relationship Management

  • Be an extension of the Executive Director with respect to patients, visitors, physicians, staff, vendors, etc
  • Communicate and interrelate positively and effectively with all customers; i.e. patients/residents, volunteers, families, visitors, physicians and other hospital employees
  • Manage Board Community relationships


Technical/Clerical

  • Proficiency with Microsoft Office Products
  • Prepare creative PowerPoint presentations based on content layout
  • Create and maintain Excel worksheets, with expertise in pivot tables and sorting of large amounts of data
  • Maintain confidential hospital and operational files


Qualifications

Education: Associate Degree

Years of Experience: At least 7 years secretarial experience with two years of the administrative level.

Required Skills and Knowledge: Excellent typing, transcription, knowledge of office and business practice, knowledge of hospital policies and procedures. Time management; organization skills, and excellent computer skills including knowledge of Microsoft Office (Word, PowerPoint, Excel) and Outlook scheduling software.
